Problem Definition

Funerals in Ghana are elaborate cultural ceremonies that involve complex financial and logistical management. Traditional methods of managing these events, which often include manual tracking of donations, expenses, and attendance, are prone to inefficiencies, inaccuracies, and a lack of transparency. These challenges are exacerbated by the significant financial transactions that take place, from managing funeral donations to organizing refreshments. There is a need for a comprehensive, technology-driven system that can effectively manage all financial and logistical aspects of funeral ceremonies, ensuring transparency, accountability, and operational efficiency.

The Solution

EBITS seeks to provide sustainable solutions to our clients in every facet of our daily lives. With a careful consideration of the funeral economy, EBITS offers FuneralDon. It is specifically designed for the effective management and coordination of funeral ceremonies. It considers all the traditional activities that are undertaken during funerals. It is useful for managing cash outflows and inflows, seamlessly receiving funeral donations “nsawa,” managing refreshment items, providing data on the number of funeral attendees, and for digital distribution of funeral brochures.

System Features

Donations

Funeral ceremonies are characterized by donations of cash and gifts. FuneralDon offers a platform to manage both cash and kind donations at funerals. The system records all donations (gifts, cash, mobile money payments) and sends digital receipts (via SMS) to donors. Donors provide their names and/or telephone numbers at the point of payment so that donations are tied to them. Moreover, physical receipts are generated as an alternative proof of donations made.

Income and Expenditure

One of the pertinent activities as part of funeral ceremonies is the need to track all income and expenditure related to the funeral. FuneralDon offers a smart way of making accountability transparent. This module enables users to capture and monitor all costs incurred as well as all income sources with minimal effort. Funeral donations captured can also be tagged as an income component, so that overall profits or losses
realized can be automatically generated. This prevents delays and errors encountered when rendering funeral accounts.

Attendance

A lot of sympathizers troop into funeral ceremonies to mourn with the bereaved. Interestingly, not all attendees end up donating in cash or in kind towards the ceremony. The system is equipped with features that track attendance during funeral ceremonies. It collates the number of attendees and also keeps track of the names of the individuals who are present and records their phone numbers as well. Attendance tracking can be achieved via USSD. A short code is provided for attendees to register their presence. Here, attendees may be required to enter their names (and provide other information if required by organizers). Dialing the short code records the telephone number of the attendee and ties it to the information provided. The data gathered provides information on the individuals who attended the funeral.

Program Brochure

Planning funerals often involves managing high volumes of quality brochures, which can be both costly and time-consuming. FuneralDon simplifies this process by allowing attendees to access the event’s program brochure instantly via a short code. With FuneralDon, you can efficiently distribute funeral brochures digitally, saving both time and resources.

Chit Management

This module controls the distribution of items like food or drinks by issuing chits to attendees. Each guest receives a chit, which they redeem at service points. The system tracks usage, ensures that no one exceeds their allotment, and allows organizers to monitor and manage resources efficiently throughout the event, maintaining fairness and preventing shortages or excess consumption.

SMS/Voice Messages

Showing appreciation is a deeply valued gesture, particularly during and after funeral ceremonies, as it helps to honor the support and presence of loved ones during such a difficult time. FuneralDon provides a seamless way for users to connect with funeral attendees after the ceremony, offering a platform to send personalized appreciation
messages via SMS or voice messages. This feature allows the bereaved family to extend heartfelt gratitude to all who attended, acknowledging their presence, emotional support, and the comfort they provided. These messages go beyond a simple “Thank you”; they emphasize the significance of each attendee’s role in the funeral, recognizing the time and effort they took to be present and their contributions, whether through donations, kind words, or assistance during the event. With FuneralDon, expressing appreciation becomes an easy yet meaningful process, allowing families to show their gratitude in a timely and considerate manner, ensuring that attendees feel valued and remembered for their support.

System Benefits

Competitive Edge

Businesses in this generation of technological advancements tend to win more competition with innovations in handling day-to-day activities within their localities.

Service to the corporate community:

Death is an inevitable reality that will continue to happen. Funeral arrangements demand the provision of professional management of financial resources. As a financial institution, taking this up would serve as a solution to the numerous challenges the immediate communities face during funerals.

Cash Profit

Client banks charge operation fees accordingly. Fixing a profit margin on the operation cost would yield cash profits in favor of the banks.

Cash Mobilization

Funds collected at the funeral mostly remain with the bank for a time until the bereaved family claims the respective portion. This, therefore, is an avenue to increase the bank’s liquidity.

Securing Loans

The bank makes it a policy to use the platform in managing all funerals for which loans were secured. This makes the recovery of loans very easy to avoid bad loans.

Corporate Brand Visibility

The presence of the bank’s system and branded items at the funeral usually promotes a strong institutional image. Digital receipts provide space for advertising key products to donors at the funeral. This may attract prospective clients who may, under normal circumstances, not have been exposed to the bank’s products and/or services.

New Customers

Potential clients who contract the bank to have the FuneralDon platform manage their funerals are highly likely to become the bank’s account holders.
